Reorder Process Guide

Standardize reorders with version control, forecast sharing, and quality hold points to avoid surprises.

Key Inputs

Share rolling forecasts, inventory targets, and safety stock goals. Confirm BOM revisions, packaging updates, and certificates that may have expired since the last order.

PO Structure

Reference the golden sample version, attach approved artwork, and restate Incoterms and payment milestones. Include change log notes so both sides know what’s new versus prior lots.

Quality Hold Points

For reorders, maintain incoming inspection of critical components, a DPI for first-off units, and a PSI before shipment. Track defect trends; if PPM worsens, escalate to a process audit.

Timeline & Communication

Lock production slots with the factory and get cut-off dates for materials. Share shipping window expectations and buffer for peak seasons. Keep a simple Gantt with owner names to avoid miscommunication.
