How to Verify Chinese Suppliers

Why Verification Matters

Supplier verification is the single most important step in China sourcing. A verified supplier protects you from:

  • Scams - Fake companies that take payment and disappear
  • Trading companies - Middlemen posing as factories (higher costs)

  • Delivery problems - Companies without export experience

Verification Steps

1. Business License Check

Request their Chinese business license (营业执照). Key information to verify:

  • Company name matches what they told you
  • Registration date (older is generally better)
  • Registered capital (indicates company size)
  • Business scope includes your product category
  • License is current and not expired

2. Factory Audit

A factory audit confirms the supplier's actual capabilities:

  • Tour the production floor
  • See equipment and workers
  • View quality control processes
  • Check certifications on walls

On-site audit (recommended for large orders):

  • Physical inspection of facilities
  • Equipment condition and capacity
  • Worker conditions and safety
  • Document verification
  • Sample production observation

3. Sample Evaluation

Always order samples before bulk orders:

  • Request samples of your exact product, not catalog items
  • Pay for samples (free samples often lower quality)
  • Test samples thoroughly for quality and durability
  • Compare to reference products
  • Keep approved sample as "golden sample" for production reference

4. Reference Check

Ask for references from international buyers:

  • Contact 2-3 references directly
  • Ask about quality, communication, delivery reliability
  • Request to see photos of delivered products
  • Ask if they'd order again

5. Trade History

Review their export experience:

  • Ask for recent shipping documents (bill of lading)
  • Check if they've shipped to your country before
  • Verify experience with your product type
  • Confirm familiarity with required certifications

Red Flags to Watch

Watch for these warning signs:

  • Refuses to provide business license or documents
  • Prices significantly below market rate - If it seems too good to be true, it is
  • Pressure to skip verification steps - Legitimate suppliers welcome scrutiny
  • Only accepts Western Union or cryptocurrency - Untraceable payment methods
  • No physical factory address - Or address doesn't match claims
  • Stock photos on website - Use reverse image search to check
  • No other international customers - Export experience matters
  • Vague answers about capabilities - Can't explain production process
  • Changes terms after initial agreement - Bait and switch tactics
